Request to send student email

Guidelines for Distribution of Student Emails

The San Jacinto College marketing department has been tasked with distributing student emails on behalf of the College and departments / offices that request student emails be sent. The marketing department asks that you review the tips and reminders below. This will be helpful to the marketing department staff when sending student emails.

Procedures for employees who wish to send an email to students:

  • Submit the full email text along with any other information to Tech Support at TechSupport@sjcd.edu. Note: Email body text is limited to 1,000 characters. Please verify that your email text does not exceed 1,000 characters prior to submitting your email request to Tech Support. Should your email text exceed 1,000 characters, the marketing department will initiate the email request as is, despite any incomplete characters, which may result in an incomplete email being distributed.  

  • The system used to send student emails is SJC AlertMe, is the same one used for emergency notification. Emails will be sent with the SJC AlertMe header. Messages will not be sent via voice or text message - only as an email.

  • Please allow up to two (2) business days for the email to be sent. The marketing department staff may not always be sitting at their desk when the request comes through, and may not be able to send it immediately.

  • Images cannot be embedded into the email. The email body must be text only (limited to 1,000 characters) with up to three (3) attachments.

  • If an attachment is to be sent with the email (flyer, photo, etc.), please be sure that is included with the request. The attachment should be a .jpg or .pdf. You will need to ensure that the file size is small enough to be sent via email—less than 1 MB is best.

PLEASE NOTE: Emails are sent to a student’s San Jacinto College email address only. We no longer send to a student's residential email address.

Below is the information the marketing department will need before a student email can be sent.

Email to be sent to:

  • All Central Campus students
  • All North Campus students
  • All South Campus students
  • All San Jacinto College students
  • All future term students (enrolled to date)
  • Specific Group (ex: Honors students, dual credit students) – please make this request to Tech Support, as they will have to pull this list and send it in a specific format

Email subject line (must include SJC or San Jacinto College):
* The subject line is limited to 50 characters (including spaces)

Email body text:
* Please note that images cannot be embedded into the email body text. If you send an image, it will be sent as an attachment, not as part of the email body.

Is there an attachment?
*If so, please send as a .jpg or .pdf no larger than 1MB. Other file types cannot be sent.
